How Invoice Max Pro works
A walkthrough of everything the app does — from your first invoice on the road to running a team across multiple stores. Jump to any section below.
Getting started
Create an admin account with your phone number, or explore first in guest mode without signing up. Everything you do as a guest is a live demo — the moment you try to save real data, the app invites you to create an account.
- Open the app and tap Create account, then verify your phone number.
- Prefer to look around first? Tap Continue as guest to browse a full demo.
- Pick your language (English or Arabic) and currency in Settings any time.
Your dashboard
The home screen is the same for every plan — your day's totals, quick actions, and the navigation to every tool. Items you don't have access to are hidden or locked, so the layout never changes under you.
- See today's sales and invoice count at a glance.
- Start a new invoice, open clients, or jump to reports from the quick actions.
- Open Tools for templates, team, routes, settings and more.
Clients
Keep your customers in one place — names, phones, multiple addresses, tax numbers, and map locations. Star the products a client buys most so they float to the top next time you invoice them.
- Add a client with as much or as little detail as you have on hand.
- Pin a location on the map so reps can navigate straight to the door.
- Star a client's usual products from inside the invoice screen for faster repeat orders.
Products
Build your catalogue of items with prices and details. Star your best-sellers so they always appear first in the picker, and create a missing item without leaving the invoice you're working on.
- Add products from the Products screen or on the fly while invoicing.
- Tap the star on any item to push it to the top of the list.
- Search as you type — the picker filters instantly.
Creating an invoice
Invoices are built as a simple cart, step by step, and work fully offline. Pick the client, add items and quantities, then review and finish — no waiting for the network.
- Tap New invoice and choose a client (or add one on the spot).
- Add items and set quantities; totals update live as you go.
- Review the order on the finish step, then save, print, or send it.
Returns, discounts & tax
Handle real-world orders, not just clean sales. Add returned items alongside the sale, apply an order-level discount or tax, and record how much the customer paid so the balance due is always clear.
- Switch to the Returns tab to add items coming back.
- Enter an order discount and tax on the finish step.
- Record the amount paid — the app shows the remaining balance due.
Invoice numbering
Every invoice gets a clean, sequential number that's the same across your whole company, with an optional prefix and suffix per store so each branch's invoices are easy to tell apart.
- Numbers increment automatically and never duplicate.
- Set a per-store prefix/suffix (e.g. NYC-1024-A) in store settings.
- The number you see on screen is exactly what prints on the receipt.
Stores & companies
Run one shop or many. Each store shares the same catalogue and team but keeps its own invoice numbering, and larger operations can run multiple companies side by side.
- Switch the active store from the app shell.
- All stores in a company share products, clients and payment methods.
- Per-store prefixes keep each branch's paperwork distinct.
Offline mode & sync
The app is offline-first: create invoices, clients and products with no signal at all. Changes queue safely on the device and sync to the cloud automatically the moment you're back online.
- Keep working with no connection — nothing is blocked.
- Pending changes wait in a sync queue you can review any time.
- When the network returns, everything uploads on its own.
Print templates
Design exactly how your receipts, invoices and reports look. Drag elements onto the page, bind them to real order data, and pick a theme — every table picks up the page's colours automatically.
- Open Templates and create or edit a layout.
- Add fields that bind to live data (totals, client, line items…).
- Choose a theme; tables and headings follow the page colours.
Printing & sharing
Finish an invoice and get it to the customer however suits them — print to a connected printer, save a PDF, or send it straight from the device by email using a reusable template.
- Print to a Bluetooth or network printer from the finish step.
- Save or share a PDF of the chosen template.
- Send by email with one of your saved email templates.
Reports
See how the business is doing across daily, weekly and monthly views — totals, invoice counts, a payment-method breakdown, and per-team-member figures for admins. Reports cache on the device so they open instantly.
- Pick daily, weekly or monthly from the reports hub.
- Admins can filter by a specific team member.
- Toggle between chart and list views, and print any report.
Team members & roles
Add your reps and office staff, give each the right role, and control exactly what they can see and do. Team members don't need their own subscription — their access comes from the admin's plan.
- Invite team members and assign a role (admin, team lead, or user).
- Toggle granular permissions — who can create clients, view reports, and more.
- Seats are governed by your plan; the admin manages everything centrally.
Route planning
Plan a rep's day as an ordered list of client stops. Each member sees their own route; admins and team leads see their whole team's, so the day runs without phone calls back to the office.
- Build a route from your client list.
- Reps open their route and navigate stop to stop.
- Admins review and adjust the team's routes from one place.
Settings & tools
Tune the app to your business: choose your currency and language, set up payment methods and reusable email templates, adjust the business flow, and even generate a logo with AI.

Plans & subscription
Choose the plan that fits — weekly, monthly, 3-month, 6-month or yearly — each with its own features, quotas and team seats. Subscribe securely in the app; longer plans save you more.
- Open Subscriptions and compare the available plans.
- Pay securely through the app; your access unlocks right away.
- Manage or cancel your subscription any time from the same screen.
